Exporting pickup or delivery schedule to calendar

With pickup or local delivery enabled in your store, your customers can specify the time for receiving the order. When you have dozens of time-sensitive orders per day, it’s easier to process them by creating a delivery schedule.

You can export orders with specified delivery/pickup date or time to your calendar app. That way, you create a schedule in the form of a new calendar where new time-related orders appear. Each order appears in a time slot corresponding to its delivery or pickup time. From your calendar app, you can share the schedule with couriers and employees, print out the schedule, or set up reminders about upcoming deliveries or pickups.

Orders are automatically exported in one click to your Google Calendar, Outlook, iOS Calendar, or any other calendar service you use. Alternatively, you can manually export orders if you want to use several different calendar apps, or you need an employee to have the delivery schedule in their calendar.

Syncing pickup and delivery orders with your default calendar

You can sync your pickup and delivery orders to your default calendar. The default calendar is one that automatically adds your meetings and appointments from your email to it.

After syncing, all new orders with a pre-selected date will appear as a new calendar in your calendar app. For each order that appears in your calendar, you will see its number, list of items and their quantity, customer address and contacts, delivery/pickup method, and payment status.

Any changes to an order will be reflected in your calendar, e.g., changing delivery time.

Please note that there may be a delay for new orders to appear in your calendar. That depends of the calendar auto-refresh settings that you can change in your calendar.

To sync pickup and delivery with your default calendar:

  1. From your store admin, go to Shipping & Pickup.
  2. Scroll down to the Delivery and Pickup Calendar Export section and click Enable Export.
  3. Click Open in My Default Calendar. New orders will automatically sync with your calendar.
  4. Set up the minimum auto-refresh time for the calendar so that new orders appear in your calendar as fast as possible. Depending on the calendar app you use, you can do it when subscribing to the calendar or after that.
Google Calendar may not refresh the data in the calendar for up to 48 hours meaning that new orders won't appear in your calendar. To fix that delay, you can ask your developer to add a Google Apps Script for syncing calendar files faster than the current Google Calendar speed.

That’s it. You can share the schedule with your staff, print the schedule out from your calendar app, or set a reminder for upcoming deliveries in your calendar settings.

If you want to sync your orders with several calendar systems, or you need a courier to have the same schedule in their calendar, you can manually sync your orders with any calendar. See the detailed instructions for each calendar below.

Manually adding pickup and delivery orders to a Google Calendar

You can manually sync delivery and pickup orders to a Google Calendar even if it’s not your default calendar that you use daily. Once you set up the syncing, all new orders with specified time for pickup or delivery will appear in the Google Calendar. Any changes to an order will be reflected in your calendar, e.g., changing delivery time.

If the calendar is synchronized between devices, information about new orders will appear on all devices.

To sync your pickup and delivery schedule with a Google Calendar:

  1. Sign in your Google account that you want to add the calendar to.
  2. From your store admin, go to Shipping & Pickup.
  3. Scroll down to the Delivery and Pickup Calendar Export section and click Enable Export.
  4. Click Add to Google Calendar.
  5. Click Copy to copy the link.
  6. Go to the Google Calendar.
  7. In the left menu scroll down in the Other calendars and click the + icon near it.
  8. Select From URL. Paste the link you copied from your store admin and click Add calendar.
Google may not refresh data up to 48 hours meaning that during that time new orders won't appear in your calendar. To fix that delay, you can ask your developer to add a Google Apps Script for syncing calendar files faster than the current Google Calendar speed.

The new calendar will appear under “Other calendars” in the sidebar, and all new pickups and deliveries will be displayed in your calendar.

You can print out the schedule or set up notifications for upcoming deliveries.

Manually adding pickup and delivery orders to Apple Calendar (iCal)

To make new pickup or delivery orders appear in the Calendar on Mac, iPhone, or iPad, you need to sync your iCal with your store. After syncing, new pickup and delivery orders will appear in your calendar. Any changes to an order will be reflected in your Apple Calendar, too. For example, changing delivery time, address, etc.

If your calendar is synchronized between Apple devices, information about new orders will appear on all devices.

To add your pickup and delivery schedule to your Apple Calendar:

  1. From your store admin, go to Shipping & Pickup.
  2. Scroll down to the Delivery and Pickup Calendar Export section and click Enable Export.
  3. Click Add to iCalendar.
  4. Copy a link that was created.
  5. In the Calendar app on your Mac, go to File → New Calendar Subscription.
  6. Enter the link you copied at the step 4.
  7. Choose a name for your calendar and set it up to your liking. In the Auto-refresh dropdown, select Every 5 minutes.
  8. Click Ok.

All upcoming and new pickups and deliveries will now appear in your calendar. You can print out the schedule from your Mac or set up notifications for your Calendar on iPhone, iPad or Mac.

Manually adding pickup and delivery orders with an Outlook calendar

You can manually sync delivery and pickup orders to an Outlook Calendar even if it’s not your default calendar. Once you set up the syncing, all new orders with specified time for pickup or delivery will appear in the Outlook Calendar. Any changes to an order will be reflected in your calendar, too. For example, changing delivery time, address, etc.

If your Outlook Calendar is synchronized between different devices, information about new orders will appear on all devices.

To add your pickup and delivery schedule to your Outlook Calendar:

  1. From your store admin, go to Shipping & Pickup.
  2. Scroll down to the Delivery and Pickup Calendar Export section and click Enable Export.
  3. Click Add to Outlook Calendar.
  4. Copy the link.
  5. Sign in to Microsoft Outlook and go to Calendar.
  6. At the bottom of the navigation pane, click the calendar icon. Select Subscribe from Web and paste the copied address to the Link to the calendar field.
  7. Set up the auto-refresh time to the minimum and click Import.

All upcoming and new pickups and deliveries will now appear in your calendar. You will get notifications about them as usual.

Manually adding pickup and delivery schedule to any other calendar

You can manually sync delivery and pickup orders to any calendar even if it’s not your default calendar. To import the schedule, your calendar app must support files in the .ics format. It is a universal calendar file format format that allows you to sync all new orders from your store with your calendar.

The general steps for adding pickup and delivery schedule to a calendar:

  1. From your store admin, go to Shipping & Pickup.
  2. Scroll down to the Delivery and Pickup Calendar Export section and click Enable Export.
  3. Click Add to other calendar apps.
  4. Copy the link.
  5. Search for instructions on how to add or subscribe to a calendar via link (URL).
  6. Set up the minimum auto-refresh time so that new orders appear in your calendar as soon as possible.

All upcoming and new pickups and deliveries will now appear in your calendar. You can print out the schedule or set up notifications for upcoming deliveries.

Disconnecting orders from your calendar

You can stop exporting new pickup and delivery orders with your calendar. After you stop exporting new orders to your calendar, new orders will no longer appear in your calendar. You can start exporting your time-sensitive orders to your calendar again any time.

To stop exporting new pickup and delivery orders to your calendar:

  1. From your store admin, go to Shipping & Pickup.
  2. Scroll down to the Delivery and Pickup Calendar Export section.
  3. Click Disable.
